Privacy policy

ClaimsPro exists for one of the worst weeks of your life. The information you put into it, what you owned, what it was worth, what you lost, is unusually personal, and we treat it that way. This policy explains what ClaimsPro (“we”) collects, why, who can see it, and the rights you have over it.

The short version, in plain words:

We collectyour account details and the claim content you add on purpose.
We use itto build, value, and substantiate your inventory. Nothing else.
Who sees ityou, the people you invite, and the vendors that run the service.
We neversell your data or use your claim content for advertising.
You canexport everything and ask us to delete it.

1. What we collect

Account information: your name and email from Google sign-in or the email you use for a sign-in link, plus the role you choose (homeowner or public adjuster) and workspace membership.

Claim content you add: your inventory of items, rooms and spaces, occupants you record, policy details you enter, valuations, photos, receipts, purchase records, statements, reconstruction documents, and messages exchanged with people in your workspace.

Usage and device data: pages visited, feature usage, and diagnostic events, collected through our analytics tooling; standard server logs including IP address; and cookies needed to keep you signed in (a session cookie, and a short-lived cookie that remembers which sign-up path you chose).

2. How we use it

We use your information to run the service: building and storing your inventory, producing RCV and ACV valuations, matching receipts to items, generating your claim package, sending sign-in links and notification emails, providing support, keeping the service secure, and meeting legal obligations.

Automated assistance: some features send specific content you provide to an AI provider to do their job, for example reading text out of an uploaded receipt or policy document, identifying an item from a photo, and suggesting market comparables for valuation. This processing happens on your content, at your direction, to build your claim. We do not permit these providers to train their models on your content.

We use aggregated, de-identified usage data to understand and improve the product. We do not sell personal information and we do not share it for cross-context behavioral advertising.

3. Who can see your information

People you invite: ClaimsPro is built for sharing a claim with the right people at the right level. Family members, public adjusters, insurance adjusters, and contractors see what their role in your workspace allows and nothing more. You control who is invited and can remove access.

Your insurer: only through you. ClaimsPro produces exports and claim packages; you decide what to send and when.

Service providers that run ClaimsPro under contract with us:

We may also disclose information if the law requires it, to protect the safety and rights of users, or as part of a merger or acquisition, in which case this policy continues to apply to your data until you are told otherwise.

4. Retention

Insurance claims move slowly, so we keep your claim content while your account is active: your inventory is your record. If you delete your account, we delete or de-identify your personal information within 30 days, except backups that roll off on a fixed schedule of no more than 90 days and records we must keep for legal, security, or accounting reasons. Workspace content you shared with others may persist in their exports; content inside ClaimsPro is removed for everyone when it is deleted.

5. Security

Your data is encrypted in transit and at rest by our hosting providers. Access inside a workspace is enforced by role-based policy checks on every query, and every change to claim records carries an append-only audit trail. No system is perfectly secure; if a breach affects your personal information we will notify you and regulators as the law requires. Found a vulnerability? 6. Your rights

You can access, correct, export, or delete your information. The fastest path is inside the product: the data rights page in your account walks you through access, export, correction, and deletion requests. You can also email privacy@claimspro.app. We respond within the timelines your law sets, for example 45 days under the California laws and one month under the GDPR where it applies, and we do not discriminate against you for exercising your rights.

Depending on where you live, these rights come from laws like the CCPA/CPRA in California, similar U.S. state privacy laws, or the GDPR. If you are in the EEA or UK, our legal basis for processing is the contract we have with you for claim content, and legitimate interests or consent for analytics.

7. Children

ClaimsPro is not directed to children and we do not knowingly collect personal information from anyone under 18. An inventory may describe belongings of children in a household; that content is provided and controlled by the adult account holder.

8. Changes to this policy

If we make material changes, we will notify you by email or in the product before they take effect, and we will not reduce your rights over previously collected information without your consent.
